Terms of Service
A framework for using Dental Clinic Manager and the clinic’s responsibilities for records and backups.
Scope and product status
Dental Clinic Manager is a Windows desktop tool for patient records, appointments, clinical workflows, finances, suppliers, attachments, and backups. It supports clinic administration and documentation; clinical judgments and patient-care decisions remain the responsibility of qualified professionals.
The product is under active development. This website is informational and does not offer a purchase, license activation, or software download. Any final software license and commercial agreement must be provided and accepted through the applicable distribution process.
Eligibility and authorized use
Use of the application is intended for clinics and people authorized to act on their behalf. You must have the authority and any professional permissions required for your activities, and ensure that only authorized people access clinic information.
License and permitted use
A software license, when granted, permits use only within its agreed scope and applicable law. Visiting this website does not grant a license to the desktop application or transfer ownership of its code, visual assets, or product identity.
License duration, pricing, device limits, renewals, and any refund arrangements are not established by this website. They must be stated in the approved commercial agreement before a purchase or license commitment.
Records and professional responsibility
The clinic is responsible for the accuracy, completeness, and lawful handling of records and for checking entries, treatment statuses, financial information, corrections, and reports. Software output does not replace professional clinical judgment or any required independent accounting review.
Do not upload or send patient records to this public website. Use clinic-approved procedures to handle sensitive information and respond to patient requests.
Credentials, backups, and recovery
Protect Windows accounts, application access, connected Google accounts, passwords, and Recovery Keys. Maintain suitable backups and test supported restoration procedures. Keep recovery material separately, and protect original source documents outside the encrypted vault and any temporary preview remnants.
Automatic backup creation is off by default. When enabled, it runs only while the app is open, at an eligible daily launch or a configured clinic-local time. A missed run creates a current backup when next eligible, not a history of every missed day. Local creation can succeed offline, but uploads depend on connectivity and have bounded retries; a manual retry may be needed.
The managed retention target defaults to 7, with choices of 1, 3, 7, 14, or 30. It is not a hard maximum, cleanup need not be immediate, and pending or failed copies may remain. After a verified successful upload, eligible older cloud backups for the clinic can be permanently deleted without Trash. Manual .dcb exports are outside managed retention.
Google authorization alone cannot decrypt clinical backup content. A compatible .dcb file and its applicable offline Recovery Key are normally required on another Windows device or profile. Restoration replaces current clinic data. Losing compatible local key access and the applicable Recovery Key can prevent recovery; no publisher-managed key escrow was identified. Read the Privacy Policy for encryption and readable-metadata limits.
Optional Google Drive and third-party services
Connecting Google Drive is optional and uses the clinic’s own Google account. Authorization is initiated inside the app and opens in the Windows system browser, not on this website. The clinic must comply with Google’s terms and manage the account, available storage, connection permissions, and any associated costs.
Explicit disconnect attempts remote Google revocation. Successful revocation is followed by local credential removal; a recognized invalid-token outcome can remove an unusable local credential without claiming all permissions were revoked. Failure or timeout retains credentials for retry, with Retry, Cancel, or explicitly confirmed local-only disconnection available. Local-only disconnection does not revoke Google permissions. Remote revocation may affect other installations sharing the account and OAuth project.
Disconnect does not delete clinic records, local copies, or existing Drive backups and preserves enabled daily local scheduling. Third-party outages, account restrictions, connectivity, and storage limits may affect operations; successful revocation is not guaranteed on every attempt.
Development-project backups may not be automatically discoverable through the Production project. Changing OAuth projects does not automatically delete existing backup files or invalidate their encryption. Seamless cloud discovery or migration across projects is not promised.
Acceptable use
Use the software and site lawfully. Do not attempt unauthorized access, distribute malicious files, misuse another clinic’s information, defeat access protections, or interfere with the software or services. Do not copy or redistribute protected material without permission, except where applicable law permits it.
Intellectual property and clinic data
The product’s code, original design, branding, and documentation remain the property of their respective rights holders. Third-party names and marks belong to their owners; references do not imply endorsement.
Using the software does not transfer ownership of clinic records to the publisher. The clinic remains responsible for having the rights and lawful basis needed to process the data it enters.
Updates, availability, and support
Features and supported workflows may change as development continues. Consult the documentation and release instructions supplied with the installed version, particularly before an update or a restoration. This website does not establish a service-level agreement, response-time promise, or permanent feature guarantee.
Contact the publisher through the official channel for availability and support questions. Do not send patient records, tokens, passwords, or Recovery Keys. Support scope and any maintenance arrangements must be set out in the applicable agreement.
Risk and limits of responsibility
To the extent permitted by applicable law, responsibility for a loss must be assessed in light of its cause, the parties’ obligations, and the governing agreement. Third-party availability, compromised devices, incorrect entries, or inadequate backups may affect the outcome and are not automatically within the publisher’s control.
Nothing in these terms excludes rights or liabilities that cannot lawfully be excluded. No monetary liability cap, warranty exclusion, or commercial remedy is established by this website; any such commercial provisions are stated in the applicable agreement.
Applicable law and disputes
These terms do not select a governing jurisdiction, court, or arbitration procedure. Any provisions in an applicable agreement remain subject to mandatory rights and applicable law. Use the official contact channel to raise a concern.
Changes and contact
The date above is the effective date of these terms. Material changes should be communicated through appropriate product or website notices. New terms do not override mandatory rights or an existing agreement without a valid basis.
Questions about these terms can be sent through the official contact details below. Refer also to the Privacy Policy for information about local records and the optional Google Drive integration.
